Zone Sharing allows an Org organization to share its Zone(s) zones with other Orgsorganizations. This allows enables other Orgs organizations to give grant their Users users access to your Zones, providing privacy of segregated User databases and reducing the burden of a Landlord who does not zones, maintaining separate user databases for privacy and reducing the landlord's need to manage the individual Tenant Userstenant users.

How to Share Zones

  1. Create a Zone zone with only the Entries entries you wish to share.

  2. Enter the Org ID number in the “Organizations to share with” field, then click Save.

  3. Once the Zone zone has been Sharedshared, it will now be selectable by the Tenant Orgtenant org, allowing them to provide their Users / Access Groups access to the Zonezone.

Note: Zones that are shared by the Landlord landlord to Tenants tenants cannot also support non-zone shared entries/zones that have the same users in the landlord Org org on the same Core core smart hub.

Reporting

  • The Landlord landlord has access to all event history at their Entriesentries. The Tenants tenants do not have visibility to history unless explicitly given access from the Landlordlandlord.

  • If a Tenant should have tenant needs access to run Reportsreports or view Dashboards dashboards, the Landlord landlord can explicitly add the Tenant User tenant’s user to the Landlord Org with a limited scope (permissions), only allowing them access to Dashboards and Reports. In this case, it is often a good idea to segregate the Landlord Org into Sites and set up Role(s) for Tenant Report Admins using the ‘Limit to specific sites’ option, preventing Tenants from viewing information for Zones that are not relevant to them.  Note that the ‘Limit to specific sites’ option requires Premium or Enterprise licensing on the Landlord Orglandlord organization with restricted permissions, granting access only to dashboards and reports. To keep tenant access limited, it's recommended to organize the landlord organization by sites and create roles for tenant report admins using the “Limit to specific sites” option. This prevents tenants from viewing information for unrelated zones. Note that the “Limit to specific sites” feature requires a Premium or Enterprise license for the landlord organization.

FAQ's

Q: What if the Landlord landlord wants control over which Users users can access an area, such as a Fitness Center fitness center which requires a waiver before Users users are granted access?

A: The Landlord landlord would not share the Fitness Center Zonefitness center zone, and would instead enroll the Tenant tenant User.

Q: Can the Tenant tenant change the Entry Scheduleentry schedule?

A: No, the Tenant tenant user cannot change the Entry Scheduleentry schedule. Only a User user with appropriate Role role permissions on the Landlord Org landlord org can modify Entry Schedulesentry schedules. Tenant admins can only modify their employees' User Schedule user schedules (allowing access from 9-5 for example).

Q: Can the Tenant tenant run Reports reports or View Dashboardsview dashboards?

A: Tenant Admins do not have visibility to cannot view event data from Zones and Entries that have been zones and entries shared with them, as they belong to the Zone Ownerthis data remains under the ownership of the zone owner. If a Tenant should have tenant needs access to run Reports or view Dashboards the Landlord can explicitly add the Tenant User to the Landlord Org with a limited Scope only allowing them access to Dashboards and Reportsreports or dashboards, the landlord can add the tenant’s user to the landlord organization with restricted access, permitting them to view only dashboards and reports. Q: Does this mean that Tenants tenants can give their Users users unlimited access to shared Zoneszones?

A: Yes, Tenants will be able to create Usersusers/Groups access groups and give them 24/7 access. However, the Landlord landlord controls the Default Entry State and Entry Schedules default entry state and entry schedules for their Entriesentries. These can be set up in such a way that they can deny specific Unlock Trigger Methods such as Cards cards and/or Mobile Credentials mobile credentials (configured in Sites > Entry states) on a scheduled basis. For example, the Landlord landlord could create an Entry Schedule entry schedule for the Main Entrance main entrance which requires a User user with Override Permission override permission or 2FA after business hours. Tenant Users users could be configured to meet these criteria, but most credentials/Users users are generally not configured for Override override permissions. Learn more about Entry Statesentry states.
